Job Overview:

Supporting the Experience Centre when hosting customer visits.  First point of contact for customers and visitors to our UK HQ in Milton Keynes.  Answering incoming calls through main switchboard in a polite and professional manner. 

 

Key Responsibilities:

  • Arrange hotel accommodation and book lunches as and when requested.
  • Maintain stationery supplies and order replenishments when necessary.
  • Maintain the BEC data capture records.
  • Organising and maintaining diaries and making appointments.
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the department manager.
  • Carrying out background research and presenting findings.
  • Producing documents, briefing papers, reports and presentations.
  • Organising and attending internal and external meetings. Typing agendas and taking minutes.
  • Liaising with clients, suppliers and other staff.
  • Carrying out specific projects and research as required.
  • Responsibility for accurately recording BEC expenditure and preparing basic accounts.
  • Taking on some of the manager’s responsibilities in their absence and working more closely with other internal and external departments.
  • Deputising for the manager, making decisions in the manager’s absence.
  • Answer incoming calls.
  • Greet visitors and provide refreshments (including issuing visitor badges).
  • Open and date stamp incoming post (which includes recording cheques received via the post).
  • Collate, frank and prepare outgoing post by 4pm each afternoon.
  • Ensure training room and all meeting rooms are cleared of all dirty crockery, glasses, water etc and that any dirty crockery is placed in the dishwasher.
  • Ensure that the reception area and showroom are kept clean and tidy always.
  • Ensure customer invoices are printed and posted on the same day (assuming postman has not collected the post, otherwise they have to go next day).
  • Post out monthly Accounts statements to customers (if unable to complete the task in the timeframe set by Accounts please pass the statements back to the Accounts department).
  • Liaise with facilities company as and when required and be the point of contact for weekly facility visitors (e, g, replenishment of vending machines, PHS, Gardeners, etc)
  • Check dishwashers daily and replenish crockery for following day’s visitors.
  • Maintain stock of refreshments.
  • Ensure the kitchens are kept clean and tidy by checking daily for any dirty crockery.
  • Maintain temperature and fridge checklist.
  • Any other duties as requested by your line manager.
